Role Overview
 

The Liaison Officer for Flight Operations provides administrative and clerical support specifically focused on managing documentation and coordination related to the Civil Aviation Authority of the Philippines (CAAP). The role ensures compliance with regulatory requirements by facilitating accurate and timely submission of documents and serving as a point of contact for CAAP-related matters.
 

Key Responsibilities
 

CAAP Documentation Management

  • Prepare and process documents required for CAAP compliance, including crew certifications, aircraft registrations, operational approvals, and other mandatory filings.
  • Track and ensure the timely renewal of licenses, permits, and certifications as mandated by CAAP.
  • Organize and maintain comprehensive records of all CAAP-related submissions, approvals, and communications.

Liaising with CAAP

  • Act as the primary contact point between the company and CAAP for flight operations-related matters.
  • Coordinate with CAAP officials for inspections, audits, and regulatory updates.
  • Follow up on pending approvals or requirements to ensure deadlines are met.

Administrative Support

  • Draft correspondence, memos, and reports related to CAAP submissions and compliance.
  • Respond to inquiries from CAAP or internal departments regarding regulatory compliance.
  • Provide clerical assistance during regulatory inspections or audits, ensuring all required documents are readily available.

Compliance Tracking

  • Maintain an updated calendar of CAAP deadlines, including license renewals, inspections, and operational requirements.
  • Assist in monitoring crew compliance with CAAP regulations and ensuring proper documentation is filed for any corrective actions.

Coordination Tasks

  • Work closely with the Flight Operations, Safety, and Maintenance departments to ensure all documentation aligns with CAAP standards.
  • Disseminate CAAP advisories, memos, and new regulatory requirements to relevant stakeholders.
     
Qualifications:Education & Experience
  • Bachelor’s degree in Business Administration, Aviation Management, or a related field is preferred.
  • At least 1–2 years of experience in an administrative or clerical role, with exposure to CAAP or other aviation regulatory bodies being an advantage.
     

Skills & Competencies

  • Strong understanding of CAAP regulations and processes.
  • Excellent organizational and time management skills to meet strict deadlines.
  • Proficiency in MS Office (Word, Excel, PowerPoint) and data management systems.
  • Strong written and verbal communication skills.
  • Attention to detail and accuracy in handling sensitive documentation.

Behavioral Traits

  • Proactive, resourceful, and able to work independently.
  • Strong interpersonal skills to liaise effectively with CAAP personnel and internal teams.
  • High level of professionalism and confidentiality.
