🛠️ What You’ll Do:
Role Summary: The Office Manager leads a high-performing workplace experience by keeping day-to-day office operations running smoothly, supporting leaders and employees, and ensuring an organized, safe, and service-oriented environment.
Key Responsibilities
- Office operations: Oversee daily office workflows and front-of-house support (reception/mail), office schedules, and space organization.
- Facilities & vendors: Manage vendor relationships and coordinate facilities services (maintenance, repairs, cleaning, security, and building management); follow up on issues through resolution.
- Supplies &purchasing: Maintain inventory and storage; place orders; support office budget tracking, invoices/receipts, and expense administration (as applicable).
- Policies, records & compliance: Maintain documentation and records in line with organizational standards and support workplace compliance (health & safety, access control, emergency procedures).
- Communication & coordination: Provide clear office/facilities communications and coordinate service requests with partners such as IT, HR, and Finance.
- Leadership support: Provide administrative and executive support (calendar and meeting coordination, travel arrangements, and document preparation) with discretion and professionalism.
🎯 What You Bring:
- Proven experience leading and supporting a team, with the ability to set priorities, provide guidance, and drive performance while balancing operational needs with executive support demands
- Experience in office management and executive assistance (or a combination of both), with a strong understanding of the unique pace, discretion, and service expectations of each role
- Exceptional organizational and multitasking skills, with the ability to manage competing priorities in afast‑pacedenvironment
- Demonstrated ability to streamline administrative and office operations, improving processes and operational efficiency
- Experience negotiating and managing vendor relationships with a focus oncost‑effectiveness and service quality
- High attention to detail and accuracy in maintaining reports and sensitive documentation
- Advanced proficiency with Microsoft 365 tools (Outlook, Excel, PowerPoint, Teams) and expense management systems
- Excellent interpersonal and communication skills, with a professional, discreet, and service‑oriented approach
