We are looking for a person who likes to work in a fast-paced, multicultural environment, and who enjoys acting as a representative for the company. Someone who has significant experience working with internal and external stakeholders and is always happy to help others and find solutions to challenges. We would like to see that you are tech-savvy, possess strong administrative skills, have a genuine interest in sustainability, environment, health and safety, and security, and are also handy with office maintenance tasks.

You are positive and flexible, and you can easily (and correctly) communicate in both Swedish and English. You are responsible, organized and can take initiative, as well as being a strong team player. You will be a key person focusing on providing a high level of service to both visitors and employees.

Basic Qualifications:

  • Has excellent written and verbal communication skills in English as primary work language and Swedish

Preferred Qualifications:

  • Has several years of experience in operations, facilities management, customer service and real estate
  • Intermediate level of Microsoft office package (Teams, Word, Excel, Outlook, Powerpoint, Power BI, and AI etc)
  • Tech Savvy: The candidate should be comfortable navigating and utilizing online applications to enhance productivity, and effectively communicate with team members and clients.
  • Has the ability to work both independently and collaboratively with different departments

  • EH&S, Security and Sustainability
  • Is able to carry out physical tasks such as lifting, carrying, basic repair work as well as installation, and maintenance of office assets/ equipment and technology infrastructure

Essential Duties and Responsibilities1.Security and Badging operations

  • Implement and maintain safety protocols and procedures to ensure the well-being of Boeing employees and visitors. This includes conducting regular safety inspections, coordinating emergency preparedness plans, and monitoring access control systems
  • Coordinate, maintain and update the Boeing Continuity Plan, inform and communicate with the stakeholders. Ensure that the respective site is fully compliant with the EH&S Boeings standard and- requirements and report accordingly on EU SharePoint and Enablon
  • Safety Walks (OSC), Recycling, EU Energy Directive, external surveillance audits
  • Communicate with the supplier and with the alarm center 24/7, monitor logs, insert new badges in the access system, monitor CCTV, incident management, order and activate badges in Boeing office and the building, deactivate and dispose of badges as and when needed
2.Environmental Health & Security
  • Act as EHS Focal Sweden, conduct safety walks, ergonomic checks, report to Enablon, participate in meetings and trainings, collaborate with the EU Site Focals

3.Sustainability

  • Oversee data calls, Green leases and procurement of Green electricity, collaborate on Green synergies with EU colleagues, recycle waste, order sustainable supplies, and support and participate in events
  • Take part in sustainability initiatives and compliance activities, such as audits. Make sure that data on consumption is provided in the designated tools in a timely manner

4.Office and Facility Management

  • Oversee and manage the day-to-day operations of the office site, ensuring a clean, safe, and productive work environment for all employees. This includes coordinating and ensuring that office supplies, equipment maintenance, and managing vendor relationships are conducted by self or the local team
  • Ensure that employees have the necessary tools and resources to perform their job effectively, including computers, printers, software, and communication systems. Conduct daily, weekly and monthly office walks following the checklists to ensure that the respective site is kept to the required standard (quality, safety, compliance, service etc)
  • Manage office space and utilization by optimizing the efficient use of office space by analyzing current and future needs, coordinating office relocations, and managing seating arrangements.
  • Collaborate with relevant teams to ensure a productive and ergonomic work environment. Carry out Service Ticket management, Office maintenance, lead and support projects on space planning, take part in weekly meetings with the local seating committee, support office moves refurbishments and construction work, conduct asset tagging following Boeing processes

5.Equipment & Technology - Support Events

  • Oversee, in collaboration with IT&DA the procurement, installation, and maintenance of office equipment and technology infrastructure. Ensure that employees have the necessary tools and resources to perform their job effectively, including computers, printers, software, and communication systems. Coordinating and supporting a variety of events by transporting and installing/uninstalling the equipment needed.
6.Data Calls
  • Fill and monitor the trackers, participate in trainings and meetings, and collaborate with the BGES team across Europe. Promptly provide site data, when requested and keep various BGES databases up-to-date (e.g. update office address, building code, etc. in Site List app; update focals for a site in the Focals List app; update Site Green ID Card app once a year…)
7. Invoices and iProcurement
  • Create and monitor purchase requests and purchase orders, monitor invoices and approvals, communicate and collaborate with AP Sweden. Assets tagging roll-out and up-keep. Collaborate with Finance
8.Landlord Engagement
  • Be the 1st point of contact for the landlord regarding day-to-day office operations, agree upon and schedule regular communication with the landlord
  • Define what falls under the responsibility of the landlord (lease contract) vs. Boeings responsibility regarding maintenance, window cleaning, security etc.
  • Ensure that all areas are covered by either landlord, Boeing or Facilities Management (FM) provider
  • Align the SOW with the FM provider. Aligned with the PPM tracker, Manage the action plan as defined in the green lease agreement if one is in place. Important: before going to GREF for any funding request it must have been agreed by Business Support Manager and Regional Leader Europe, Ukraine and Israel
