Job Description:

As the HR Administrator at Ascent Aviation Services, you will play a pivotal role in ensuring the efficient operation of our Human Resources department. Reporting directly to the HR Director, you will be the first point of contact for employees and contractors, providing support in various HR functions. DUTIES/RESPONSIBILITIES:

  • • Greet and direct visitors, primarily internal employees and contractors.
  • • Create, manage, and maintain both digital and hard copy personnel files for all employees. This includes, but is not limited to, entering contractor information into the system, processing terminations, and ensuring all records are accurate and up-to-date.
  • • Conduct employment verifications.
  • • Coordinate New Hire Orientation with applicable departments.
  • • Verify the accuracy and completion of new hire paperwork.
  • • Create and issue ID badges for employees and contractors.
  • • Perform I-9 verifications for new hires to ensure compliance with federal regulations, including maintaining proper documentation and addressing any discrepancies.
  • Manage and process expense reports.
  • Assist with tracking IAI reporting.
  • Maintain records and data from exit interviews.
  • Order office supplies for the HR department and coordinate service calls for office equipment.
  • Coordinate and plan company events, such as employee appreciation activities.
  • Pick up, sort, and distribute incoming mail and inter-office correspondence.
  • Design and create posters, graphs, and charts as needed for HR and Talent Acquisition.

Additional Responsibilities:

  • Maintain Human Resources bulletin boards and post policy changes.
  • Undertake special projects as assigned by the HR Director.
  • Conduct new hire orientation.
  • Provide backup support for the DOT program.
  • Assist the Talent Acquisition department with job offer letters, new hire packets, and pre-employment drug screenings.
Job Requirements:

REQUIRED SKILLS/ABILITIES:

  • Strong organizational and planning skills with the ability to adhere to deadlines.
  • Meticulous attention to detail and the ability to maintain confidentiality.
  • Exceptional communication skills, both verbal and written.
  • Ability to multi-task and adapt to rapidly changing circumstances.
  • Proven experience in handling and de-escalating difficult situations with professionalism and tact.
  • Ability to foster positive working relationships with co-workers and project a professional image to the public.
  • Capable of working independently with minimal supervision.

Minimum Qualifications:

  • High School diploma or equivalent.
  • Minimum of one year of experience in an administrative position.
  • Basic working knowledge of Microsoft Excel.
  • Basic understanding of professional email etiquette, including proper spelling and grammar, is required to ensure clear and effective communication.


Preferred Qualifications:

  • One year or more of HR administrative experience preferred.
  • Bilingual in Spanish highly preferred.
  • Comfortable public speaking in front of groups of up to 40 people at a time.
  • Familiarity with HRIS systems (e.g., Paycom, ADP, Workday).
  • Experience using Canva.
  • PHYSICAL REQUIREMENTS:
  • • Ability to sit or stand for extended periods.
  • Occasional squatting, lifting, carrying, pushing, or pulling up to 20 pounds.


EQUIPMENT OPERATED:

  • • Telephone, personal computer, multiple printers, typewriter, copy machine, digital camera, and shredder.
  • o May be required to operate additional office equipment not explicitly listed in this description as needed to perform job duties effectively. WORKING CONDITIONS:
  • Work primarily in the Human Resources building with frequent travel to various locations on base.
  • Potential exposure to materials listed on Material Safety Data Sheets.
  • Protective Equipment Required: None


OTHER DUTIES:
May be required to work at both Marana, AZ and Tucson, AZ locations as business needs dictate.
Additional duties may be assigned at the discretion of department management.

Other: May be required to work at both Marana, AZ and Tucson, AZ locations as business needs dictate. This position requires some weekend and off hour coverage to proper evaluate all maintenance operations. This position may require some weekend and off hour duty coverage for the overall facility.
