Summary of Accountabilities: The Aviation Scheduling & Workflow Analyst plays a key role in developing, maintaining, and optimizing production schedules, project timelines, and operational workflows to maximize efficiency and ensure on-time delivery of goods and services. This position requires close collaboration with multiple departments, proactive identification of scheduling challenges, and the use of planning software to create data-driven solutions.
Primary Duties and Responsibilities:
- Coordinate and manage aircraft project schedules to ensure optimal resource utilization and timely execution.
- Liaise with the operations team members to gather visibility, availability, and schedule meetings, appointments, for upcoming events.
- Collaborate with Quoting Specialist, Sales Team, and the Executive Vice President of Sales to provide real-time insights into quote status and progress.
- Facilitate daily Critical Path Tool (CPT) meetings with leadership, department managers, sales teams, department leads, and finance to ensure full organizational visibility across all aircraft stages – in progress, planning, tentative, and completed.
- Maintain the Critical Path Tool (CPT) for all aircraft in work, planning and tentative deck as well as the Executive Summary for sitewide visibility to the leadership team.
- Oversee and manage an RFQ/RFP tracking system to enhance visibility for operations, sales, and the program office.
- Track and analyze won/loss data and provide regular updates to key stakeholders.
- Create new customer profiles in Corridor based on website inquiries, ensuring accurate input of customer and aircraft details.
- Receive website inquiries for RFQ/RFP’s and open work order quotes for the quoting specialists.
- Communicate new open work order quotes promptly to quoting specialists and sales, ensuring timely and accurate data delivery to customers.
- Organize and maintain the Aircraft Projects folder, ensuring all sales order forms and relevant documentation are properly filed and easily accessible.
- Analyze and report on tentative probability percentages for quotes, keeping operations, quoting specialists, and program office informed.
- Provide timely updates on scheduling changes to all relevant stakeholders to ensure alignment and minimize disruptions.
- Collaborate with department managers to gather CPT data, ensuring the Project tab is up to date with accurate and essential company information.
- Collect and calculate on-time delivery metrics and aging data for KPI dashboards used by leadership.
- Prepare and distribute meeting agendas and materials to ensure department managers are well-informed and equipped for aircraft arrivals.
- Analyze customer and sales requests to prepare precise and detailed quotes.
- Ensure compliance with aviation regulations and company policies in all planning activities.
- Maintain a professional and courteous demeanor in all customer interactions, fostering a positive customer experience.
- Support other projects and activities as assigned.

Education and Experience:
- Bachelor’s degree in Business, Aviation Management, or a related field preferred.
- Previous experience in aviation scheduling or operations planning is highly desirable.
- Strong Organizational skills and attention to detail.
- Ability to work independently and as part of a team in a fast-paced environment
- Proficient in Microsoft Office (Excel, PowerPoint, Word)
Communication Skills
- Must be able to read, write and speak English fluently.
- Must be able to communicate effectively with customers and other internal personnel.

- Ability to define problems, collect data, establish facts, and draw valid conclusions.
- Ability to interpret an extensive variety of technical instructions in mathematical or diagram form and deal with several abstract and concrete variables.
Preferred qualifications:
- Proficiency in Microsoft Office Suite (Excel, PowerPoint, Word)
- The ideal candidate should be highly proficient in Microsoft Excel, with strong skills in data analysis, spreadsheet management, and advanced functions such as VLOOKUP, pivot tables, and conditional formatting. Experience with integrating data from multiple sources and maintaining dynamic, well-structured spreadsheets is essential. The ability to connect and analyze data efficiently will be key to success in this role.
Physical Requirements:
- Extended periods of sitting and occasional periods of walking, rotation, bending, pushing, pulling, and reaching.
- Occasionally lifting to 10 lbs.
Work Environment:
- Frequent exposure to general shop conditions, engine noise.
- Occasional exposure to aircraft exhaust, moving mechanical parts, lubricants, metals, and solvents.
