Position: Administrative Assistant / Stores Clerk
Reports To: Assistant Director of Maintenance
FLSA: Non-Exempt

This position is responsible for data entry, parts receiving / Inspection and materials used by the airline. This position will assist with aircraft utilization data entry, stockroom inventory counts, parts issuing and tracking using the company approved inventory program (TFBO).
Key Responsibilities:
- Update daily spreadsheets used for maintenance tracking and aircraft utilization
- Assist in organizing / filing aircraft paperwork and records
- Ensure parts and tooling are properly issued to and from stockroom.
- Prepares parts and material for shipping. Initiates the screening process for items shipped into the facility.
- Reviews and processes packing slips and vendor documentation on received parts.
- Controls the release of inventory and assets and ensures the security and integrity of all property located in the stockroom.
- Prepares paperwork and/or performs computer input/output required to document warehouse activities.
- Verifies, counts and processes incoming and outgoing orders, materials, and documentation.
- Verify inventory computations by comparing them to physical counts of stock and investigate discrepancies or adjust errors.
- Do annual inventory for accounting department.
- Identifies discrepancies and damaged materials and reports them to the Assistant Director of Maintenance for corrective action.
- Completes and maintains cycle count sheets and other required reports and documentation.
- Performs general duties to include but not limited to shipping, receiving, unpacking, and packing parts.
- Maintains knowledge of aircraft parts certification, traceability requirements, expired material, tool calibration.
- Coordinates repairs with the Manager of Supply Chain.
- Dispose of damaged or defective items or return them to vendors.
- Recommend disposal of excess, defective, or obsolete stock.
- Other duties as assigned by the Assistant Director of Maintenance.
Qualifications and Requirements:
- Solid administrative and organizational skills.
- Strong communication skills for interfacing with both internal and external customers.
- Computer skills (previous experience with Excel)
- Able to handle multiple tasks simultaneously.
- Ability to be trained in the requirements of handling hazardous materials as specified 49 CFR parts 171 through 180.
- Ability to obtain and maintain an airport security badge for Kona International Airport. Ability to pass a pre-employment drug screen and background check per company policy and/or airline regulations.
- While performing the duties of this job, the employee is regularly required to talk or hear; to stand, walk, climb, or balance, stoop, kneel, crouch, or crawl, handle objects, tools, to reach with hands and arms; and to lift or move 50 pounds.
- The employee is frequently required to sit.
- Current driver’s license is required.
Education: High School Diploma or equivalent
Experience:
- 3 years of experience in general aviation, or part 135 or 121 air carrier operations or corporate aircraft (preferred)
