We are seeking an Administrative Assistant to support our Directors. The ideal candidate will be proactive, organized, and able to manage multiple tasks with great attention to detail.
Summary of Responsibilities
Work closely with assigned members of the management team to set priorities and prepare relevant documents.
Manage calendars and appointments, ensuring efficient scheduling and prioritization of commitments.
Assist in managing emails, phone calls, and correspondence, ensuring professional and prompt communication.
Organize and coordinate meetings.
Proactively and clearly communicate any issues and important information to the Directors to ensure effective progress on files.
Coordinate business travel, including booking flights, hotels, and transportation.
Prepare expense reports with attention to detail.
Manage special projects and initiatives assigned by the management team.
Assist with other administrative and support tasks as needed.
Minimum required qualifications
Position Requirements / Qualifications
College diploma in secretarial studies, administration, or a related field.
Minimum of 5 years of experience as an administrative assistant or in a similar role.
Strong organizational skills and ability to manage multiple priorities simultaneously and meet deadlines.
Demonstrated customer service skills.
Excellent written and verbal communication skills.
Proficiency with office tools, including Microsoft Office (Word, Excel, PowerPoint, Teams, OneNote, SharePoint) and calendar management software.
Ability to work independently and take initiative.
Discretion and ability to handle confidential information with integrity.
Flexibility and ability to adapt to a dynamic and fast-paced work environment.
Excellent knowledge in French is required.
Proficiency in English Functional knowledge in English is required for this position, as it involves communication in English with Bell teams outside of Quebec and/or its suppliers, partners, and clients outside of Quebec.
Any other combination of schooling and experience deemed equivalent may be considered.
